# Turn voice notes into tasks you can trust

Turn messy voice notes into checked tasks. Work through corrected dates, duplicate mentions, tentative ideas and a save that times out before trying again.

Give your agent a voice note, its recording date and your current task list. Ask for a review table that separates commitments, corrections and passing thoughts. Approve the exact changes, then check the saved tasks in their destination. This guide follows two messy notes all the way through that process, including a timeout that could otherwise create a duplicate.

## What should a voice-note workflow actually deliver?

Aim for a small set of tasks you recognize, each linked to the words that prompted it. Keep a record of what was proposed, what you approved and what was saved. A task that says “send the measurements” can be saved correctly while the measurements still have not been sent.

The current inspiration is Alexis Rondeau’s Quasi, a personal recorder project described on October 5, 2026. His writeup distinguishes capture, transcription and task handling. He reports real device use, but notes that his extraction evaluation used self-authored examples and that Todoist creation had only been tried separately by script, not from the apps. That is a useful account of partial progress, not proof of a complete reliable workflow.

The worked process below is our original, untested editorial method. It uses a review table and destination checks rather than requiring Quasi hardware. Start with your own short notes and one private task list.

## What should you give your agent?

Bring enough context to tell whether a spoken sentence changes an existing task. You can use Muse, Instinct, Dots or Grok Bot if your account has the needed tools; the brand alone does not establish audio support or permission to edit a task app.

- One or two recordings, or transcripts you have checked. Give each a stable label such as N01; retain a timestamp or line reference for each proposed action.
- The actual recording date, time and timezone. If these are unknown, leave relative dates unresolved rather than using the processing date.
- The relevant existing task list, with task IDs or links, current dates and completion states. Include completed matches so an old note does not reopen finished work.
- The project and people needed to interpret the note, plus the exact destination list. Avoid uploading unrelated contacts or private material.
- Your boundary for this pass: prepare proposed creates and updates; wait for review before writing them. Recording someone else requires appropriate permission.

## How do you separate an action from a passing thought?

Ask for the relevant words beside each interpretation. Explicit task requests become proposals. A correction modifies the proposal it refers to. Questions and tentative ideas remain questions and ideas unless you confirm a commitment. The agent should not assign someone work merely because you mentioned their name.

Read unclear names, amounts and dates against the recording. If audio is unavailable, mark the transcript as unverified. A useful review question is narrow: “Does Sunday afternoon mean October 18 with no reminder time?” Avoid making the reader repeat the whole note.

TasksBoard’s official capture documentation, updated October 16, describes reviewing suggested tasks before adding them and resolving relative dates from today. That creates an important check when pasting an old transcript: supply and confirm absolute dates first. This is an example of a product-specific behavior to verify, not a claim that all task apps interpret dates the same way.

## Worked example: two notes, one correction and an existing task

Everything in this example is invented for teaching; no recording was processed and no task app was changed. N01 was recorded on Friday, October 16, 2026 at 18:10 in America/Denver. N02 followed at 18:14. The agent processes them on Saturday, October 17.

N01, lines 1–2: “Add a task for me to send Lee the patio measurements tomorrow. Also add test the string lights; that has no deadline.”

N02, lines 1–2: “The measurements are already on my list as Send patio dimensions to Lee. Make that Sunday afternoon instead. Maybe Sam could choose a bench, but I haven’t asked.”

The existing list contains destination task 341, labeled P17 in this review: “Send patio dimensions to Lee,” owned by you and planned for October 17. The agent should propose updating P17, creating one lights task and keeping the bench thought out of the task list. Both notes remain linked to P17; the second mention is not a second job.

Illustrative interpretation before approval

| Spoken evidence | Proposed record | Needs a decision |
| --- | --- | --- |
| N01 line 1: send Lee measurements tomorrow | Match existing P17; the recording anchors tomorrow to October 17 | N02 corrects this date; do not apply the older date first. |
| N02 line 1: already on my list; Sunday afternoon instead | Update P17 to October 18; retain both note references | Confirm the calendar date and whether afternoon needs a reminder time. |
| N01 line 2: add test the string lights; no deadline | New proposal V02, owned by you, with no date | Confirm the destination list and a clear finish: record which strings work. |
| N02 line 2: maybe Sam could choose a bench | Keep as an uncommitted idea with no assigned owner | Do not create an assignment for Sam or send a request. |

## Approve a precise set of changes

In the illustrative reply, you confirm: “Use my Patio list. P17 goes on October 18, date only; no afternoon reminder. Add the lights check without a deadline. Keep the bench idea in the review note. Don’t contact anyone.” The agent now has two approved writes and one explicit no-action decision.

For P17, retain the existing task identity and change only the approved date. For V02, create “Test the string lights and note which work.” Preserve its source reference. If the destination separates planning dates, deadlines and reminders, choose the field you actually approved; a preferred workday is not automatically a hard deadline.

Before writing, re-read the matched task. If you or another device has completed it or changed its date since the review, stop that update and reconcile the difference. Similar titles alone are not enough to merge tasks: check project, intended result and owner. Two different rooms can need two separate paint jobs.

1. Return the old and proposed values for each update, the full proposed fields for each new task, and the items left out.
2. Confirm the destination and the precise creates or updates. Keep messages, invitations and purchases outside this task-import approval.
3. Save a small record containing note ID, source line, proposal ID, intended action and status before attempting each approved write.
4. After each write, open or fetch the destination record and compare its title, list, date, owner and completion state with the approved proposal. Store the task ID or link.

## What if the save times out?

Continue the same illustrative example. P17’s date update is read back successfully at destination task 341. Creating V02 times out before the app returns a result. Mark V02 “save unconfirmed.” Do not recreate the entire batch or assume the task is missing.

First search the destination using the saved task ID if one was returned. Otherwise look for the proposal’s source marker, then compare the title, list and fields. In this example, task 342 exists with the correct lights-check details and N01 line 2 attached. Record V02 → task 342 as verified saved. No second creation is needed.

If access is unavailable, keep the outcome unresolved and ask for a manual check. If a supported read confirms absence, retry only that one approved create. If two plausible matches exist, show both for review before merging or removing anything. An API request that returned an error may still have changed the app.

Illustrative result after the partial failure is reconciled

| Record | Verified destination state | Work still to do |
| --- | --- | --- |
| P17 → task 341 | Patio list; planned October 18; no reminder; incomplete | You still need to send Lee the measurements. |
| V02 → task 342 | Patio list; no date; source N01 line 2; incomplete | You still need to test the lights. |
| Bench idea | Retained in the review note; no task or message created | Decide later whether you want to ask Sam. |

## How do you use this without a task-app connection?

Have the agent return the same review table as text or a spreadsheet. Manually apply the two approved changes, then add the task links and checked fields to the record. The useful result is still a clear action list; the agent should label it prepared for manual entry until you confirm the save.

If your assistant cannot transcribe audio, supply a transcript from a tool you choose and check the uncertain words yourself. If it cannot keep files between sessions, save the review record and attach it next time. Do not rely on a fresh conversation to remember what was already imported.

For an appointment with a fixed time, use the linked checked-calendar prompt instead. It adds the separate questions of duration, calendar conflicts and guest invitations. A task-list date does not reserve time on your calendar.

## Check the first batch before making it a routine

Start manually with a small batch. Use these checks on the actual result before arranging a recurring inbox or folder watch. A saved schedule is only the trigger; it does not prove that audio arrived, tasks were reviewed or destination writes succeeded.

- Trace each proposed task back to the words that support it. Keep explicit corrections and uncertain transcription visible.
- Check one relative date against the recording time and one tentative idea against the no-action list.
- Check whether a repeated mention updates an existing task, and whether a completed task stays completed.
- Open the saved destination records. A task count alone cannot reveal the wrong list, date or owner.
- If a write is uncertain, inspect the destination before a retry. Keep prepared, approved, save unconfirmed and verified saved as separate states.
- End with a short receipt of changes, skipped items and unresolved questions. Mark the underlying work completed only when you confirm it or there is appropriate evidence.

## Copy a prompt and try it

Each idea has a complete starter prompt, the inputs to bring, and the tools it needs.

## Common questions

### Can AI turn a rambling voice note into several tasks?

An assistant with audio or transcript support can propose several actions from one note. Review whether each was a real request, a correction or a passing thought. The worked example shows how two recordings can produce one existing-task update, one new task and one idea to keep uncommitted.

### Should every task get a due date?

No. Preserve a stated date and clarify ambiguous ones, but leave undated work undated. A suggested planning date, a hard deadline and a reminder time are different choices.

### How can I avoid duplicate tasks when a note is processed twice?

Keep stable note and proposal IDs plus the destination task ID or link. Compare the intended action with existing tasks before creating one. After an uncertain write, check the destination before retrying.

### Does this work with Muse, Instinct, Dots and Grok Bot?

The method is portable, but this workflow has not been run-tested across those products. Check your account’s audio, file and task-app capabilities. A supplied transcript and manual task entry are workable fallbacks.

Source limitations: Author’s own personal project, described as unaffiliated with the recorder vendor. Device use is self-reported; extraction cases were self-authored, and task creation was separately tested by script rather than through the apps. We did not reproduce the workflow.

Source limitations: Official documentation from a commercial task-app provider. It describes its review flow and date handling, not independent task accuracy or compatibility with every personal agent. Checked October 17, 2026.

These are practical editorial examples. The prompts have not been independently run-tested across every assistant. A reported use or product description does not establish that a suggested workflow succeeded.
