Separate each item into: a question I need answered; an ask for another person; a proposed action for me or the agent; a reference to retain; or a passing idea with no commitment. Distinguish thinking aloud from an explicit decision. Include the note ID and timestamp or transcript line so I can check your interpretation. Preserve contradictions and tentative language. Resolve relative dates only from a known recording date and timezone, showing the resolved date; never silently use today for an old note.

For each actionable item, propose a plain-language next step, intended owner, needed input, stated deadline if any, and a completion criterion. Use needs clarification when the owner, recipient, date or intent is uncertain. Ask up to three focused questions for high-impact ambiguities; leave the rest clearly marked. Do not invent urgency or deadlines. Draft concise messages for real asks, with recipients and factual details left for my confirmation.

Merge against the saved queue using the source note and action intent, keeping links to every relevant source. Do not create a second task because I mentioned the same idea again. Flag changed instructions or competing commitments for review. Use explicit statuses such as proposed, needs clarification, approved and completed; only record completed when I report it or an authorized action has verifiable evidence. Keep a dated change log.

Return an inbox digest with the few questions I need to answer, message drafts and a reviewable queue. Save this artifact only in [approved private location], or return a copyable version if persistence is unavailable. For repeat use, load the queue at the start of each batch; do not assume memory across chats. If I want scheduled triage, confirm the folder, cadence and timezone, and verify the saved schedule and access before saying it is running.

Ask before sending any message, creating or changing tasks in another app, booking time, buying anything or taking an action mentioned in a note. Approval must identify the exact recipients, message or action and destination. Record the result of an approved action without confusing a draft, queued task or send acceptance with completed work or a reply.
